Job Type: Part-time Contract
Duration: 12 months (with opportunity to renew)
Compensation: $17 – $20 per hour
Work Schedule: 10:00am – 2:00pm from Tuesday to Thursday

Job Description:
The Bookkeeper/Office Administrator will be responsible for the administrative functions of the Franklin Carmichael Art Group and will serve as the main point of contact for instructors, members, and visitors. We are looking for someone who is highly organized and detail-oriented with superior communication skills and excellent time-management skills. The successful incumbent will work closely with the Board of Directors to effectively support FCAG’s day-to-day operations, and will need to have a solid understanding of the organization’s operations and management, as well as non-profit and charitable financial policies.

Job Description:

The successful incumbent will work closely with the Board of Directors to effectively support FCAG’s day-to-day operations, and will need to have a solid understanding of the organization’s operations and management, as well as non-profit and charitable financial policies.
Duties & Responsibilities:
- Help to maintain the smooth functioning of the Centre
- Respond to members, instructors, visitors, and board members in a professional and timely manner; this includes answering phones, responding to emails, and fielding messages and enquiries
- Maintain positive relationships with instructors, members, and board members
- Process class and workshop registrations, including accepting payment and issuing receipts; maintain registration records for all classes, workshops, and events
- Maintain an up-to-date and systematic filing system to support bookkeeping and financial recordkeeping
- Prepare financial documents for FCAG’s Accountant
- Prepare financial reports for the Board Treasurer
- Process donations; issue charitable tax receipts
- Assist in developing and maintaining policy and procedure documentation for financial processes and accounting issues
- Maintain membership lists and newsletter recipient lists
- Assist with developing catalogues and materials for programs, exhibitions, and events
- Work closely with, and provide administrative support to, the Board of Directors
- Perform other bookkeeping and administrative duties, as required
- Comply with the FCAG Code of Conduct
Skills & Qualifications:
- Experience in bookkeeping and administration
- Experience working in the arts or non-profit sector an asset
- Proficiency in the use of Quickbooks, Google Drive, and Microsoft Office Suite (Excel, Word)
- Knowledge of Square an asset
- Knowledge of MailChimp an asset
- Ability to take direction, work independently, and meet deadlines.
- Must be reliable and have good communication and problem-solving skills
- Must be a Canadian Citizen, permanent resident, or person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act.
- Legally entitled to work in Canada in accordance with relevant provincial legislation and regulations
- New hires will be required to provide a satisfactory Criminal Record Check and Vulnerable Sector Screening, dated within the last 30 days as a condition of employment
